Published standards, 1987-era practice
The Piano Technicians Guild has published what a college piano program should look like since 1987. The standards are clear.

Yet most institutions manage pianos the way they managed them in 1987: spreadsheets, handwritten notes, email, and institutional memory. When a technician leaves, years of knowledge walk out the door. When budget time comes, the conversation starts from scratch. When you want to know what condition the instruments are in, someone has to look at 200 pianos individually. CAUTtools operationalizes the Guidelines. It turns published standard into daily practice.
A single, current register
One record per instrument: make, model, serial number, age, location, size, condition, climate code, maintenance standard, replacement value, and complete service history.
Nothing is pooled or averaged. Nothing is guessed. When an instrument moves, you update the location. When its condition changes, you update the record. When it's serviced, the history grows. When it's retired or replaced, the record stays traceable.
This solves the continuity problem. When your piano technician retires, the next technician doesn't start from zero. The register is already there. The service history is already there. Decades of knowledge stays with the institution.
Live workload analysis
The CAUT workload formula is mathematical, not subjective. It takes seven factors — condition, climate, age, usage, maintenance standard, instrument class, rebuild parameters — and produces a recommended staffing level.
The problem: most institutions run this formula against estimates, not actual data. CAUTtools runs it against your actual inventory, updated continuously. As instruments age, as climate improves or deteriorates, as you rebuild or replace pianos — the staffing number updates automatically.
This solves the staffing conversation. When the technician asks for another person, you can show the math. When you want to explore “What if we improved climate control?” — you can model it. Staffing decisions become defensible instead of emotional.
Capital asset stewardship
Pianos are capital assets. They cost money, they depreciate, they require maintenance, they eventually need replacement. Yet most institutions manage them as maintenance. As utilities. CAUTtools reframes them as assets.
- Current valuation. What is the replacement cost of your entire fleet today?
- Maintenance budget. At 5–10% of replacement value, what should you budget annually?
- Replacement sequencing. Over the next 20 years, which pianos should you replace first to spread costs and maintain continuity?
- Rebuild vs. replace. For aging instruments, what's the financial case for rebuilding instead of replacement?
- Deferred maintenance. What work hasn't been done, and what will it cost when you finally have to do it?
This solves the budget conversation. Maintenance stops being “whatever the technician needs” and becomes a predictable, defensible percentage of fleet value. Capital planning becomes possible.
Transparent, auditable records
Every service event is logged: who did it, when, what instrument, what work. Every requested repair is tracked: when reported, who addressed it, how long it took, resolution. Every change to condition or status is timestamped and attributed.
This is not surveillance. This is accountability. You can answer questions:
- “How much service did we actually deliver this year?”
- “Which instruments receive more attention than others?”
- “How many requests came in, and how many were resolved?”
- “Are service intervals being met?”
You can show stakeholders what the technician is actually doing. You can show faculty why their piano didn't get serviced — capacity constraints, climate issues, deferred rebuilding.
Climate & long-term risk
Relative humidity instability is the largest single driver of tuning cost and structural deterioration. CAUTtools models this.
- Climate code per instrument, based on building conditions or installed humidity systems.
- Deterioration projection. How will condition change over 20 years under current climate vs. improved climate?
- Cost modeling. What will maintenance cost under each scenario?
- ROI analysis. What's the return on a new humidity system?
These projections are planning aids, not crystal balls. But they're real enough to inform capital requests: “If we upgrade climate control in the East Wing, maintenance costs drop by $X/year over the building's lifetime.”

Continuity across staff changes
Piano programs depend on people: a technician, a director, a department chair, a dean. When any of them leave, knowledge leaves with them.

Your data, your subdomain
Each institution gets its own database and subdomain (e.g. universityname.cauttools.com). Nothing is pooled across schools. Your pianos, your history, your analysis. Technicians log in from a practice room phone to record service. Directors log in from an office to review reports. Requesters scan a QR code to report problems — no account needed.
Integrations with existing systems
If you use a calendar system — Outlook, Google Calendar, institutional calendar management — room schedules can import so tuning is never booked against a performance or rehearsal. If your piano technician uses a business-management system like Gazelle, CAUTtools can sync with it (read-only initially) so work is entered once and used twice: for billing and for institutional analysis. You don't have to replace existing tools. CAUTtools adds the institutional layer that other tools don't provide.
Scalable from pilot to full deployment
Start with a pilot: import your current inventory data, run reports, demonstrate value to stakeholders. If it works, expand to full service tracking, QR intake, scheduling integration. Eventually, consider transitioning from technician-led account (lower cost, proves value) to institution-owned account (full control, data ownership, multi-user access).
